How to send your wish list to Hotel Xcaret Mexico

You downloaded the PDF. Now what? This page covers everything from a final review to which inbox to send it to, plus copy-paste email templates in Spanish (the language that gets the fastest reply).

Why this matters

Hotel Xcaret handles dining reservations differently from most all-inclusive resorts. Several restaurants (HA’, Fuego, Tama-Mon, Brunch Dominical, Teatro del Río) require advance bookings, and the resort doesn’t take walk-up requests for those. Instead, the team asks each guest to submit a prioritized list before arrival, then books what they can.

Earlier is better. The most-requested venues, especially HA’ and Brunch Dominical, fill up first. Sometimes weeks ahead.

Step 1: Check everything is correct

Open the PDF and look at it before you send it. The most common things people miss:

  • Dates match your stay. Picks are booked against the dates you typed in. A wrong date means the wrong night.
  • Meal slots make sense. Brunch Dominical only happens on Sundays, for example. Don’t request it for a Tuesday.
  • Times fall inside service hours. If you wrote down HA’ at 10pm and they last seat at 9, the team has to move it. Pick within the published hours.
  • You actually want each restaurant. Cancelling later wastes the team’s effort and burns a slot another guest could have used.

Step 2: Add your trip details

Open the PDF in Preview, Adobe Acrobat, or any PDF reader that supports forms (Chrome and Firefox both do). Fill in:

  • Your name and hotel confirmation number at the top of page 1. The confirmation # came in your booking email from the hotel or your travel agent.
  • Flight details in the airport-transfer section, if you want the resort to arrange pickup. Skip it if you booked transport separately.
  • Dietary restrictions or allergies in the section just below the restaurant tables. The kitchens take this seriously. If it’s medical, say so explicitly (“celiac, not preference”).

Step 3: Sign the wish list

The form has a signature line at the bottom, above the Terms and Conditions. The reservations team wants a signature on file even for digital submissions. Two ways to do it:

  • Digital signature. Open the PDF in Preview (Tools › Annotate › Signature) or Adobe Acrobat (Tools › Fill & Sign). Both let you draw or upload a signature image.
  • Physical signature. Print the last page only, sign it, scan or photograph it, and attach the signed page alongside the digital PDF in your email. The team will match it back to your reservation.

Step 4: Email it

You have two paths.

Send it through your travel agent

If you booked through an agent (a Costco Travel rep, an AAA specialist, a TPG-recommended booker), forward the PDF to them and let them handle the back-and-forth with the resort. This is usually the smoothest path. Agents have direct contacts on the reservations team and know how to escalate when something stalls.

Or send it directly to the hotel

Email the PDF to dxguestservice@hotelxcaret.com with your reservation number in the subject line.

Translate the body to Spanish. The reservations team works in both languages, but Spanish-language emails get faster, more detailed responses. They’re processed by the staff most familiar with the dining operation. Guests routinely see confirmations within 24 to 72 hours when they email in Spanish, versus 3 to 5 business days in English.

What happens after you hit send

The hotel typically replies within a week with a confirmation list: which reservations they got you, which moved to different times, and which they couldn’t honor. A few patterns to know:

  • HA’ and Brunch Dominical are the most over-requested. Submit those first if you have to prioritize.
  • Casa Fuego guests get priority at Fuego restaurant. If you booked Casa Fuego, mention it in the email so the team prioritizes Fuego accordingly.
  • Walk-in restaurants don’t need this list at all. Bio, Cantina Los Faroles, La Trajinera, Mercado de la Merced, La Xentral, Costero, and Xinema are walk-in. Show up when you want to eat.

If you don’t hear back

Reply to your original email with a polite nudge after 5 business days. Their inbox can be busy during peak booking season. Mention your reservation number in the reply. If a full week passes with no response, contact the resort’s general guest services line and reference the wish-list email by date.

  • Where do I email the wish list at Hotel Xcaret Mexico?

    Send the PDF to **dxguestservice@hotelxcaret.com**, the resort's guest-services inbox. Put your reservation number in the subject line. If you booked through a travel agent, forward the PDF to them instead. They handle the back-and-forth with the hotel on your behalf.

  • When should I send my wish list?

    Hotel Xcaret asks for dining requests at least 30 days before arrival. Earlier is better. Popular venues like HA' and Brunch Dominical fill up first. If you're inside the 30-day window, send it anyway; the team still tries to accommodate.

  • Should I translate the email to Spanish?

  • What if I want to change my picks after sending?

    Generate a new PDF on the wish list page (the 'Latest PDF saved...' line will tell you when your current copy is out of date), then forward the updated version to the same email thread. Keep your reservation number in the subject so the team can match it.
